What do I do if I need to change the presenter for my abstract?
For abstract presenters, if you need to change the presenting author, please email [email protected] and make the request. Provide the abstract ID along with the new presenter's name and email address. A new invitation will be sent to the updated presenting author.

How long do I have to present my science?
Each poster session at #HRS2025 is 2 hours long. It is recommended that you get set up/hang your poster during the first 30 minutes, be present at your poster during the middle hour of your assigned poster time, and use the last 30 minutes to wrap up any final discussions with attendees and take down your poster. What materials do I need to prepare as a poster presenter?
- ePoster PDF (to be uploaded)
- Paper Poster (to be printed)
- Audio recording of your presentation (optional, to be uploaded and added to the online abstract catalog)
Where do I upload my science?
Presenters must upload their materials to the online portal, Orchestrate. Login information will be provided via email once available. This upload should be completed by April 10, 2025. If any changes need to be made, this can be done at the Speaker Resource Center in San Diego (details below).
Remember to utilize the HRS2025 Poster Templates when creating your Poster PDF. You will also upload your optional audio recording to Orchestrate.
You are also expected to have your paper poster printed. You are free to have this printed on your own with your own printer or you can utilize HRS’ partner - Genigraphics.
Why do I receive an 'Error' when uploading my file in Orchestrate?
Please make sure your file name does NOT include any dots (".") in the name. A sample title format is: Poster_Name_1234
What is the deadline for uploading my materials?
All presentations should be uploaded to Orchestrate by April 10, 2025.
What is the deadline for printing my poster?
If printing your poster on your own, make sure to order with enough time to have it delivered before you depart for San Diego.
If printing through HRS' preferred vendor, details coming soon.
What file types can I upload?
For your ePoster, please utilize PDF and maintain a 16:9 aspect ratio.
For your audio recording, please utilize mp4 format. Keep your video at 3 – 5 minutes in length to ensure that the file size is not too large for upload and presentation in the Abstract Catalog.
What size poster should I print?
The poster boards available to you are 8’ x 4’ and are approximately 3-4’ above the floor. It is up to you how much of the poster board space you would like to utilize, however, the recommended poster sizes in Landscape Orientation are:
- 45" x 80" (114.3 x 203.2 cm)
- 36" x 64" (91.44 x 162.56 cm)
What do I need to bring with me to San Diego for my presentation?
If you are printing your poster on your own, bring your poster. Otherwise, there is nothing else needed to bring!
If you utilize HRS' preferred poster printing vendor, your poster will be waiting for you in San Diego. Simply stop by the pick-up area prior to your presentation time.
HRS will provide push pins for you to hang up your poster during your session.
I want to upload my ePoster in San Diego. Is this possible?
A Speaker Resource Center will be available onsite in San Diego in Room 6A. You may upload your material on-site but they may not appear in the abstract catalog for up to 4 hours from the time of upload.

I want to practice my presentation in San Diego. Will there be an area to do this?
A rehearsal space is allocated inside the Speaker Resource Center (Room 6A) in San Diego. Hours are listed above. This area will not be identical to what you will experience in the Abstract Pavilion, but it will provide you with a private space to practice your presentation if desired.
What does the area I am presenting in San Diego look like?
Each poster session consists of up to 110 double-sided poster boards. You will be assigned one side of a board and will stand next to your poster. Posters are grouped by abstract submission category so you will likely be near other posters of a similar topic.
How do I know which Poster Board to place my poster on?
Please visit the Presenter Portal and view your invitation. Your poster board number will be listed like the following example: PO-01-101. “PO" indicates a poster session, “01" indicates which session you are assigned, “101" indicates the board number you have been assigned. If you have any questions, please utilize the Abstract Pavilion help desk on site where HRS staff or volunteers can help you find your correct poster board assignment.
How will attendees interact with me during my presentation?
During your assigned poster session, you are expected to stand by your poster within the middle hour assigned (though you are free to remain by your poster for the full two hours). During this time, attendees will be browsing the poster boards and may stop to ask you additional questions regarding your research.
How can I ensure a successful poster presentation at Heart Rhythm 2025?
- Upload your required materials by April 10, 2025.
- Order your paper poster with enough time to allow for shipping either to your home or to San Diego
- Allow yourself extra time to get from your hotel/shuttle drop off or another session room to the Abstract Pavilion before your presentation.
- Pick up your poster (if you ordered through HRS) at least 30 minutes before your assigned Poster session time. Posters can be picked up at the Info Desk in the Abstract Pavilion.
- At the start of your assigned poster session, hang your paper poster board in your assigned space using the push pins provided
- Do not hang your poster up before your assigned session start time as this may be confused with a previous session's posters and removed.
- At the end of your assigned poster session, be sure to remove your poster from the poster board and take it with you.
- Any posters remaining at the end of each session will be taken down by HRS staff and volunteers and stored at the Info Desk. Any posters that have not been picked up by 12:00pm on Sunday, April 27th will be thrown out.
